This policy explains how HYGIENIC TANKS, a micro enterprise registered under Udyam (No. UDYAM-TS-09-0001428) ("Hygienic Tanks", "we"), handles information in the Hygienic Tanks customer app, which our customers use to manage their premises and tanks, ask for quotes, follow their cleaning jobs and see their invoices. The same account also works on our website's customer portal, and this policy covers both.
1. Information we collect
- Your account: name, phone number, email (optional) and password. Your password is stored on our servers only in scrambled (hashed) form and is never stored on the phone.
- Your premises: property names and types, addresses and PIN codes, and a map pin if you add one.
- Location, only when you choose to use your phone's GPS to pin a property. The app does not track your location.
- Other contacts you add for a property (for example a watchman or a facility manager): name, phone and role. Please add someone only with their permission.
- Your tanks: type, material, capacity and location at the premises.
- Photos of your properties and tanks that you add, and before and after photos that our crew takes while cleaning.
- Service records: your quote requests, cleaning jobs and their progress, work reports, invoices and payments.
2. How we use it
To provide our service: quoting and scheduling cleanings, sending the right team to the right place, recording the work with photos, preparing work reports and invoices, and contacting you about your bookings (for example by phone call or WhatsApp). We do not use your information for advertising, and we do not sell it.
3. Who can see it
- Our staff who serve your area — the franchise your properties belong to — and our head office, each limited to what their role needs.
- Your organization, if you belong to one. If your account is part of an organization (for example a hospital or business group whose branches each have an account), that organization's authorised people can see your properties, tanks, jobs and invoices. Your account is added to an organization only through our office.
- When a PIN code is typed, the address may be looked up in India Post's public directory (api.postalpincode.in). Only the PIN code is sent.
- Map and directions links open in Google Maps.
- We may disclose information if the law requires it. We do not share it with anyone else for their own purposes.
Information is sent over an encrypted connection (HTTPS) to our own servers, hosted by Hostinger.
4. Storage and security
On your phone the app keeps only your sign-in token and basic profile. Sign-ins expire after 30 days, and signing out ends them. On our servers, data is protected by access controls, and photos are reached only through links that expire.
5. Retention
We keep your account and service records while you are our customer. After that:
- Invoices, payments and the jobs they cover are kept for 8 years, as Indian income-tax and GST record-keeping rules require.
- Job photos are kept with the job they belong to, as the record of the work done, for as long as that job's record is kept.
- Everything else — your profile, properties, tanks, the contacts you added, the property and tank photos you added, and your quote requests — is deleted when you ask us to delete your account (see section 6).
Where the law requires a record for longer, we keep it for as long as the law requires and use it for nothing else.
6. Your choices and rights
- You can deny location or camera permission in your phone's settings. You can then still type addresses and choose photos yourself.
- Access and correction: to see the information we hold about you, or to correct your name, phone or email, contact us at hygienictanks@gmail.com or (+91) 905-915-5508. You can edit your properties and tanks in the app yourself.
- Deleting your account: follow the steps on our account deletion page. We will respond within 30 days. Records we must keep by law (such as invoices and payments) are retained for that purpose only.
7. Children
The app is for adults (18 and over) and is not directed at children.
8. Changes
We will update this page when the app or our practices change, and change the date above.
