This policy explains how HYGIENIC TANKS, a micro enterprise registered under Udyam
(No. UDYAM-TS-09-0001428) ("Hygienic Tanks", "we"), handles information in the
Hygienic Tanks Team mobile app (com.hygienictanks.team). Hygienic Tanks Team is for our employees and
authorised staff only. Accounts are created by our office; there is no public sign-up.
1. Information the app collects
About you (staff):
- Login details: your username or email and your password. The password is sent over an encrypted connection and is never stored on the phone.
- Your profile as held by the office: name, phone, branch and assigned vehicle.
- Location, only when you check in or check out, and when you choose to use the device's GPS to pin a customer's or a lead's premises. The app does not track your location in the background.
- Your attendance and the leave requests you submit.
- The app also shows records the office keeps about you, such as your payments and your Aadhaar number in masked form. Your full Aadhaar number is shown only when you tap to reveal it, and every such view is recorded for security.
About customers and leads (entered by staff):
- Names, phone numbers, email addresses, designations, premises addresses, map pins, on-site contact details, tank details and conversation notes.
- Photos: before and after photos of cleaned tanks, and photos of buildings and tanks, taken with the camera or chosen from the gallery.
2. How we use it
To run our service: assigning and completing cleaning jobs, recording proof of work, preparing work reports and invoices, following up leads, managing customers and quotes, and handling attendance, leave and payroll. We do not use this information for advertising, and we do not sell it.
3. Sharing
Information is sent over an encrypted connection (HTTPS) to our own servers, hosted by Hostinger. We do not share it with third parties for their own purposes.
- When a PIN code is typed, the address may be looked up in India Post's public directory (api.postalpincode.in). Only the PIN code is sent.
- Map and directions links open in Google Maps.
- Inside our company, each person sees only what their role allows — for example, a technician sees the jobs of their own vehicle, and franchise staff see only their own franchise's records.
- We may disclose information if the law requires it.
4. Storage and security
On the phone, the app keeps only your sign-in token and a copy of your basic profile, in the device's encrypted secure storage. Signing out removes them. Sign-ins expire after 30 days. On our servers, data is protected by access controls, photos are reached only through links that expire, and important changes are recorded in an audit trail.
5. Retention
We keep staff and customer records while the employment or customer relationship lasts. After that:
- Invoices, payments, payroll and other accounting records are kept for 8 years, as Indian income-tax and GST record-keeping rules require.
- Other employment records (attendance, leave) are kept for 3 years after the employment ends.
- Job photos are kept with the job they belong to, as the record of the work done, for as long as that job's record is kept.
- Everything else is deleted when an account is deleted (see section 6).
Where the law requires a record for longer, we keep it for as long as the law requires and use it for nothing else.
6. Your choices and rights
- You can deny location or camera permission in your phone's settings. Some features (job photos, GPS check-in, pinning a location) will then not work fully.
- Access, correction and deletion: to see or correct your data, or to ask for it to be deleted, contact us at hygienictanks@gmail.com or follow the steps on our account deletion page. We will respond within 30 days. Records we must keep by law (such as payroll, invoices and payments) are retained for that purpose only.
7. Children
Hygienic Tanks Team is for adult staff only and is not directed at children.
8. Changes
We will update this page when the app or our practices change, and change the date above.
